Who You Are:

Dimagi India seeks a passionate, responsive Office Administrator to join our vibrant, fun team in New Delhi. The Office Administrator reports directly to the India Director of People Operations.  The Office Administrator drives a broad spectrum of functions, ranging from basic office management to People Operations support, including, recruiting, HR policies, processes & compliance, and benefits and compensation.  If you’ve got a great sense of humor and a can-do attitude, the Office Administrator role is perfect for you!

What You’ll Do:

  • General Office Administration
    • Procuring and re-stocking office supplies (including for pantry and bathroom) and ensuring smooth functioning and accessibility of supplies for other team members
    • Answer phone calls, including forwarding, taking messages, blocking unwanted calls, and responding to enquiries and requests for information as directed
    • Answering the door and facilitating visits of meeting attendees to the office (e.g. providing directions, notifying relevant staff, coordinating tea/coffee)
    • Coordinate with the kitchen for daily staff lunch orders and monthly payments
    • Process daily incoming and outgoing mail
    • Coordinate office cleaning and maintenance with support staff
    • Scan and file invoices, contracts, and other documents
    • General logistical support across teams, e.g. managing room booking system
    • Support the Director of People Operations in searching for new office space if/when needed
  • HR and Benefits Administration
    • Job postings and general recruiting support
    • Back-office set up of accounts and tools for new hires and executing off-boarding steps for employees leaving the organization
    • Execute various HR processes to support People Operations, e.g. payroll preparation, health insurance registration, maintaining employee HR data
  • Staff Support
    • Arrange and coordinate travel and accommodation for employees and visitors
    • Support and host international visitors to India e.g. by providing them with safety and travel information, helping them get oriented, and coordinating pickups
    • Setting up calendar reminders and other notifications as per defined processes
    • Support employees with visa research and coordinate with visa agents on procurement of visas
    • Support planning and coordination of company events including off site retreats and workshops
    • Edit and format documents, PowerPoints, flyers, and other materials
    • On occasion, paperwork preparation, data entry, and taking minutes at meetings
    • Serve as a liaison between employees and IT support
  • Procurement & Inventory Management
    • Search and procure equipment and devices as per employee requests
    • Prepare documentation for procurement
    • Follow up regularly with vendors and/or visit vendor stores for payment and pickup
    • Track bills from vendors and forward them to finance team for payment
    • Search for new vendors and maintain relationships with existing vendors
    • Maintain inventory of all equipment and devices like phones, dongles, and laptops
  • Workflow Execution and Documentation
    • Keep company procedures up to date to facilitate a high, consistent level of efficiency and performance across administrative and operations tasks
    • Ensure consistency in office systems and procedures across the company
    • General execution of pre-defined workflows and processes.


Who You Must Be:

  • Have 1-2 years previous experience in an office environment (administrative or operations experience ideal)
  • Have experience working with a reputed organization, preferably in a multi-national setting
  • Be computer savvy, highly organized, highly detail-oriented
  • Strong MS Office and Google Drive (Google Docs and Sheets) skills
  • Familiarity with software such as Google tools (Gmail, Hangout), Dropbox, and Skype and the ability to learn new computer software programs such as Salesforce, Fogbugz, and Confluence
  • Strong communication skills
  • Have excellent oral and written English and Hindi
  • Experience working in Delhi NCR

We offer a casual work environment with flexible hours. Given our social mission, our budgeted salary scale is more in-line with that of an NGO and exact compensation will vary by level of experience.
